If you have been given the job of organising an event such as a wedding reception, graduation or any other party, it is vital that you find the right band to entertain your guests.
As you have probably already worked out, planning an event is a huge undertaking. So many different details and plans that have to be worked out.
This is a huge undertaking in its own right and one of the most important elements of this celebration is the music which will be played during the event.
You have a number of options but the two most common are a DJ or a live party band.
Live music should be your first choice as the excitement it generates can be incredible! But what should you look for when hiring a live wedding band?
The first step before choosing a wedding party band is to know what your guests themselves would prefer to listen to. Ask a few of the guests in advance what they would like to hear.
Most event organisers fail to do this and just choose something according to their own tastes.
Next, try to see a live performance of each of the wedding bands you're considering. Although you won't be able to watch them performing at private events, most bands also have public gigs. Check them out if it's at all possible.
Seeing them perform live is the number one thing you should do but if this is not possible there are alternatives. Ask them if you can have their pre-recorded CD's to check their performance or preferably a video. This will give you an idea of whether this band is exactly what you want for your wedding reception.
It is important to know how good the band actually are. How professional are they? How long have they been together as a group?
Read the information about the band members and the band itself on the group's website or in its written information. It will help you get a feel for the band's overall caliber.
The band should have a website and this is definitely the best place to start your search. On the site you should find photos, recorded music, and if you are lucky a video. All bands should have a website these days.
Additionally, you can often look at the testimonials from other clients for whom they have played before. Their enthusiasm is a good indication of how things will go at your own party. Their website will usually have a list of their repertoire of songs which is also important for you to take a look at.
Try and find a versatile band whose music will appeal to a lot of different people. Specialized music such as jazz and heavy rock should be avoided for these types of gatherings. You should go for a more general sound which all ages can relate to.
Of course the price of hiring your wedding band is a big part of the decision making process. Be sure that you have had that conversation with the band manager, and once you have ironed out the pricing be sure that it is outlined within your contract.
It is also usual to put down a non refundable deposit so that the date of your event can be secured.
About a week before the party, call the wedding band to confirm details of the event. Be sure their song list is appropriate and know what time they will arrive to set up their equipment.
Remember, there's a good chance your band has traveled a substantial distance to play at your event, so it's courteous to give them a meal.
Lastly give them a written timetable of events so that they know what time you want them to start playing.
